Roles & Responsibilities – Sales Coordination & Business Support:
- Support the sales and business development team in daily real estate brokerage operations to ensure smooth workflow and deal closure.
- Handle incoming calls, emails and property inquiries (Property Finder, Bayut, Dubizzle); manage and update CRM with accurate data on real estate leads, listings, clients and follow-ups.
- Coordinate between clients, landlords, brokers, leasing and property management teams for all property sales and leasing transactions.
- Follow up on real estate leads, viewing feedback and pending deals to ensure timely response and maximum conversion rate.
- Prepare and organize MOUs (Form A/B), booking forms, proposals, NOCs and real estate sales documentation.
- Assist in drafting, preparing and processing tenancy contracts, renewals, Ejari registration and lease agreements as per UAE regulations, schedule and coordinate property viewings, site visits and client meetings.
- Monitor property listings, sales pipeline and deal progress and provide regular updates on lead status and conversions.
- Prepare daily, weekly and monthly real estate sales and leasing reports for management review.
- Ensure all client files, property documents, contracts and transaction records are properly maintained, updated and archived.
- Coordinate with property management team for unit availability, maintenance status and property handover processes; support client onboarding by ensuring all KYC and tenancy documentation is completed.
- Assist in monitoring property portals, market listings, new leads and competitor activity to support real estate business development.
- Maintain strong communication with internal teams to ensure timely execution of property transactions; ensure proper follow-up until deal closure and commission confirmation.
- Provide administrative and operational support to real estate sales and leasing teams for day-to-day activities.
- Assist management in preparing real estate presentations, market reports and performance analysis.
- Ensure compliance with UAE real estate regulations, RERA guidelines and DLD procedures.
- Maintain professional communication and high service standards with clients, landlords, tenants and brokers.
